Privacy Policy

1. Who We Are

PodDojo is a product of MD&A INC., operating as Make More Creative, a company incorporated under the laws of the Province of Alberta, Canada.

2. Information We Collect

We collect the following categories of information when you use PodDojo:

• Account information: Your name, email address, and a hashed password. We never store your password in plain text.
• Show content: Episodes, show notes, blog articles, guest records, social posts, and any other content you create or import within the platform.
• Usage data: Feature usage, page views within the admin dashboard, and general analytics to help us improve the platform. We do not use third-party advertising trackers.
• Payment information: Billing is processed by Stripe. We do not store your credit card number or full payment details — only a Stripe customer ID and subscription status are retained on our servers.
• Integration credentials: When you connect third-party integrations (Libsyn, Ayrshare, Riverside, Firecrawl), your API keys are stored encrypted using AES-256-GCM. We cannot read these keys in plain text.

3. How We Use Your Information

• Provide the service: Your data is used to operate PodDojo — storing your content, powering your show site, and enabling the features you've subscribed to.
• Process payments: We use your billing information to manage subscriptions and send invoices through Stripe.
• Generate AI content: When you request AI-generated show notes, articles, or social posts, your episode transcript and show metadata are sent to Anthropic's Claude API to generate content. This data is not used by Anthropic to train their models under our API agreement.
• Service communications: We may send you emails related to your account, subscription, security, or important platform changes. We do not send marketing emails unless you explicitly opt in.
• Improve the platform: Aggregated, anonymised usage data helps us understand which features are working and where we can improve.

4. Data Storage & Security

PodDojo is built on Supabase (PostgreSQL), hosted on infrastructure in the United States. Your data is protected by:

• Row-level security (RLS): Database access controls ensure users can only access data belonging to their show.
• Encrypted integration keys: All third-party API credentials are encrypted at rest using AES-256-GCM before being stored in the database.
• HTTPS everywhere: All data in transit is encrypted using TLS.
• Automated backups: Supabase performs daily automated backups with point-in-time recovery capability.

5. Third-Party Services

PodDojo uses the following third-party services to operate. Each has its own privacy policy governing their handling of data:

• Supabase — Database, authentication, and file storage (supabase.com)
• Stripe — Payment processing and subscription management (stripe.com)
• Anthropic / Claude — AI content generation from transcripts (anthropic.com)
• Libsyn, Ayrshare, Riverside, Firecrawl — Integrations connected at your discretion; data shared only when you actively use these features

6. Your Rights

You have the right to:

• Access: Request a copy of the personal information we hold about you.
• Correction: Request correction of any inaccurate personal information.
• Deletion: Request deletion of your account and all associated data. We will fulfil deletion requests within 30 days.
• Data portability: Export your content (episodes, articles, guest records) at any time through your account settings.
• Withdraw consent: Where processing is based on consent, you may withdraw that consent at any time without affecting the lawfulness of prior processing.

7. Cookies

PodDojo uses cookies strictly for platform functionality:

• Session cookies: Used for authentication — to keep you logged in to your account.
• No tracking cookies: We do not use cookies to track your browsing activity across other sites.
• No advertising cookies: We do not use cookies to serve you advertising, either on PodDojo or elsewhere.

8. Data Retention

We retain your data as follows:

• Active accounts: All data is retained for as long as your subscription is active.
• After cancellation: Your data remains accessible in a read-only state for 30 days following cancellation, giving you time to export anything you need.
• Account deletion: Upon receiving a deletion request, all personal data and show content is permanently deleted within 30 days.
• Billing records: Invoices and payment records may be retained for up to 7 years as required by Canadian tax law.

9. Canadian Privacy Law

PodDojo operates in compliance with the Personal Information Protection and Electronic Documents Act (PIPEDA) of Canada. We collect only the information necessary to provide the service, use it only for the purposes stated, and provide individuals with access to their data upon request. If you have a privacy complaint we cannot resolve, you have the right to contact the Office of the Privacy Commissioner of Canada.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email at least 30 days before the changes take effect. The "last updated" date at the top of this page reflects the most recent revision. Continued use of PodDojo after the effective date constitutes acceptance of the updated policy.
